The Need

The IT Senior Manager manages the Office’s information technology system and ensure the continuous availability and reliability of network systems and IT services that are compliant with the organization’s standards and policies. The IT Senior Manager works with the Administration Manager and the Regional GTS, APac to ensure that IT support and training is given to all staff and equipment are functional and readily available for staff use anytime anywhere.

Roles and Responsibilities

Manage the FO information technology system, including

  • Set up/Install/Update computers (including all computer based electronic systems) and other communications (e.g. PABX system) network according to IJM headquarters GTS standards;
  • Ensure continuous availability and reliability of network services, including performing related preventive maintenance and repair procedures in coordination with IT service provider;
  • Periodically evaluate network performance and recommend improvements as necessary;
  • Ensure proper maintenance and/or repair of computer resources, including keeping updated inventory listing of assets;
  • Install and configure required and appropriate software and functions according to specifications.
  • Train network users on the proper use of new software applications and care of IT resources;
  • Communicate to staff reminders on prevention and awareness regarding current IT security issues regularly when needed;
  • Communicate and present to staff at least once a month IT reminders regarding IT policies and procedures
  • Utilize the prescribed Helpdesk ticketing system;
  • Work in close coordination with Regional (APac) and Global IT team for resolution of server and cloud related issues.
  • Empower network users to perform basic IT troubleshooting;
  • Remind all network users of importance of compliance with headquarters and field office IT standards and policies, including Ticketing systems, Social media posts, etc.
  • Be the office lead role on the GCCN (Global Change Champion Network) program of HQ GTS, to ensure a seamless roll out of new technologies and initiatives.

Provide other IT support services as follows

  • Facilitate purchase of IT assets and manage IT supplies, including toners, batteries, monitors, etc.;
  • Facilitate the setting up of work stations for new hires and incoming Interns and Fellows
  • Ensure CCTV, PA system, Conference Room System and PABX system are operational;
  • Maintenance of magnetic door system and record issuance of security-related cards for magnetic door;
  • Provide technical support on audio/video interview related activities;
  • Provide technical software support for finance departments software;
  • Provide technical support to projects/activities that involve use of specialized IT equipment or software/application.

Provide logistics support services to staff as follows

  • Disburse in an orderly and timely manner load cards for all staff;
  • Provide administrative support during joint activities with partners as may be necessary - IT support and\or logistics support;
  • Submit quarterly accomplishment report to the Administration Manager and participate in strategic planning and policy review;
  • Perform other related duties as required and necessary.

Education & Experience

  • Bachelor’s degree in Computer Engineering, Information Technology or any related computer course from an accredited university;
  • Working knowledge in computer hardware and software maintenance and troubleshooting;
  • Has at least gained 2 years of IT work related experience as stated under roles and responsibilities.

Technical Competencies

  • Proficiency in Windows OS (Windows 7 and Windows 10);
  • Proficiency in Hardware and Software issues troubleshooting;
  • Proficiency in PABX maintenance and repair is an advantage but not required;
  • Proficiency in CCTV, Electronic Security access control is an advantage but not required;
  • Working experience using any helpdesk platform is an advantage;
  • Proficiency in Adobe Photoshop or later is an advantage but not required;
  • Proficiency in Windows Movie Maker and/or other similar applications;
  • Experience in Audio/Video recording concept and assembly;
  • Proficiency in Microsoft Office applications specifically Outlook, Excel, Word and PowerPoint;
  • Excellent interpersonal and customer service skills;
  • Is able to train and/or develop basic IT training materials for network and computer users; and
  • Fluent in oral and written communication in English and Cebuano (fluency in oral and written Tagalog highly desirable but not required).
